Un-filed documents are nasty things to be honest. In a workplace setting efficiency matters most. For this a helpful filing system is very important.
What you rely on while retrieving matters the most. It can be your client's name or a reference no. sequence or division into various categories. For example bills, letters, receipts etc. separately handled.
The next thing to be determined is the volume of documents handled by your office daily, monthly, and annually. This tells the space occupied your paper. It should be also determined how often you need to access your papers.
Hot-sites and cold-sites are for having a separation between those which have to be accessed regularly and which that do not need such frequent access. Hot-sites are for those documents which need to be accessed very frequently. Or the kind of documents on which work was being done in the near past.
So these hot-sites need to be within few metres of your reach. This can be done by having them located within your desk. They could even be placed in a file-cabinet within your room.
Off-location sites are cold sites. They can be in a company's vault in a bank or in head office offshore. These are documents that are no longer in use by the company but stored for record purposes.
So whether it is creating separate files for each category with colour coded divisions or whether creating separate drawers planning is essential. Buying document binders to keep one type of documents stacked together or having a whole room filled with compartments and drawers, budgeting is needed. So planning ahead.
Investing in a new filing system needs a lot of time and money. But it is cheaper in the long run. Because at the end of the day it is your efficiency that saves you a lot of money.
